Privacy policy

This policy explains what MMO Meetups collects, why we collect it, who it is shared with, and what you can do about it. MMO Meetups is a listener-run directory of in-person meetups connected to the Millennial Media Offensive podcast. It is operated by the people reachable at the address in section 15 and is not run by the podcast itself.

By using this site you agree to this policy. If you do not agree, please do not create an account or submit anything to us. Browsing requires no account.

1. Information you give us

Account. An email address, a display name and a password. The display name is shown publicly and may be a pseudonym. The email address is never shown publicly. Passwords are stored only as a one-way hash, so they cannot be read by us or recovered for you.
Meetup listings. The title, description, date, time and venue of anything you submit, together with any contact name, email address or phone number you choose to add to the listing. Everything in a listing is published once the listing is approved.
RSVPs. A first name, an optional last name, an email address, and the size of your party.
Problem reports. Whatever you type into the report form, the page you were on, an optional email address so we can reply, and your browser's user agent string.

2. Information collected automatically

Server logs. Our hosting provider records the usual web server information, including IP addresses, request times, pages requested and user agent strings.
Abuse controls. To limit spam and repeated failed sign-ins we count recent attempts against a one-way hash of your IP address, or of the email address submitted. The values themselves are not kept in those counters, and the counters expire on their own.
Session cookie. One cookie, which keeps you signed in. It carries no advertising or tracking identifiers and is discarded when you sign out.
Local storage. Your choice of light or dark theme is saved in your own browser. It is never sent to us, and it does not follow you between devices.

3. How we use it

We use the information above to run the site: to create and secure your account, to publish the listings you submit, to record RSVPs and let hosts know who is coming, to send the messages described in section 4, to review submissions before they are published, to answer problem reports, and to detect and prevent spam, abuse and fraud.

We do not sell, rent or trade personal information. We do not run advertising networks or third-party analytics. We do not build profiles, and we do not add you to a mailing list because you registered or RSVP'd to something.

4. Email we send

We send email only for specific, expected reasons: verifying your address when you register, resetting a password at your request, confirming an RSVP, telling you whether a meetup you submitted was approved or declined, and telling you if a meetup you RSVP'd to is changed or cancelled. There is no newsletter and no promotional email.

5. Who can see what

The public. Approved listings, including the venue and anything in the organiser contact fields, and the display name of whoever is hosting. Treat anything you type into a listing as visible to everyone.
Hosts. Whoever posted a meetup can see the names, email addresses and party sizes of the people who RSVP'd to it, so they can get word out if plans change. Public pages show a headcount and nothing else.
Administrators. The people who run the site can see account email addresses, submitted listings, RSVPs and problem reports. That is unavoidable in operating the site.

6. Service providers

We use a small number of outside services, and only as far as running the site requires. Each has its own privacy policy.

Hostinger hosts the site and its database, and delivers our outgoing email.
OpenStreetMap supplies the map tiles on the map page. Opening that page sends your IP address and user agent to their tile servers, in the same way loading any image from another site would.
Nominatim turns venue addresses into map coordinates. Those lookups are made by our server rather than by your browser, and they contain the venue address rather than anything about you.
Google Fonts serves the typefaces used across the site, which sends your IP address and user agent to Google.
Cloudflare Turnstile may be used on public forms to tell people from bots. Where it is switched on, it receives your IP address and information about your browser.
Telegram receives a notice when a meetup is submitted, so whoever is on approvals knows to look. The notice carries the listing and the host's display name, and goes to a private chat between the site and its administrators.

7. Legal disclosure

We may disclose information where we are required to by law, or where we believe in good faith that doing so is necessary to comply with a legal obligation, to enforce our terms, or to protect the rights or safety of any person.

8. How long we keep it

Account information is kept while the account exists. Listings and their venues are kept as a record of what has been held, including after the date has passed. RSVPs are kept while the meetup exists. Problem reports are kept until they are dealt with and for a reasonable period afterwards. Abuse counters expire within hours. Server logs are kept on our hosting provider's own schedule.

9. Security

The site is served over HTTPS. Passwords are stored as one-way hashes. Emailed links, such as verification and RSVP cancellation links, are also stored only as hashes, so the link sitting in your inbox cannot be reconstructed from our database. No system is perfectly secure, and we cannot promise absolute security.

10. Your choices

You can use this site without an account. You can use a pseudonym as your display name. You can leave the optional contact fields on a listing empty. You can cancel an RSVP with the link in your confirmation email.

Write to us and we will delete your account and what is attached to it. Meetups that have already taken place may stay listed as a historical record, with your name removed. Depending on where you live you may also have the right to ask what we hold about you, to have it corrected, or to be sent a copy. Ask and we will do it.

11. Children

This site is not directed at children, and accounts are not intended for anyone under 13. If you believe a child has given us personal information, contact us and we will delete it.

12. Where the site is run from

The site is operated from and hosted in the United States. If you use it from another country, you are sending your information to the United States, where privacy law may differ from the law where you live.

13. Meetups happen in the real world

We list gatherings. We do not organise, supervise or attend them. What you tell the people at a meetup is between you and them, and this policy does not reach it.

14. Changes to this policy

If we change how any of this works we will update this page and change the date at the top. Continuing to use the site after a change means you accept the updated policy.
